Gopher Messaging: Your Phone Away from Phone

Sometimes what's old becomes new again.

Gopher Messaging isn't new but with the prevalence of smart phones and other mobile computing devices, it might be time to take a second look at the University's unified messaging system. In addition to regular telephone-based voicemail, there are some clever features that let you customize the way you handle calls, messages, and faxes.

Manage Voicemail Online

To get started you'll need to set (or reset) your Gopher Messaging web password. Call central OIT at 1-help (301-4357) for a Gopher Messaging password reset.

Once you have access, log on to Gopher Messaging.

Send Voice Messages to an Email Address

Have your voice messages forwarded to your email address so you don't have to dial into your voice mailbox to get your messages.

1. After logging into Gopher Messaging, click on Options in the left navigation bar. A list of user preferences is displayed.
2. Click on Mail Filters under the Message Management category. An interface for setting up a message forwarding as well as vacation message is displayed.
3. Click on the Edit button located in the upper right.
4. Under the Mail Forwarding category, click the checkbox next to Forward All Mails Enabled.
5. In the Forward to Email Addresses field, type your email address.
6. Click on the Update button, located in the upper or lower right, to save your changes.
7. Ignore the "Vacation Message" section.

Set up a Personal Assistant

Create a Personal Assistant Number so callers can bypass your voice messages and reach a live person--also known as zero escape.

1. After logging into Gopher Messaging, click on Options in the left navigation bar. A list of user preferences is displayed.
2. Click on User Profile under the User Information category. The user profile for your account is displayed.
3. To edit your user profile, click on the Edit button located in the upper right. The fields available to be edited are displayed.
4. Click in the Personal Assistant Number field and type the 5-digit extension of your alternate contact (this could be your assistant or the central office for your department, etc.).
5. Click on the Update button, located in the upper or lower right, to save your changes.

Tip: If you choose to set up a Personal Assistant, it's a good idea to include some instructions to your caller in your personal greeting letting them know that they can press zero to reach an alternate contact rather than leaving a message in your absence.

Set Gopher Messaging to Forward Callers
If you don't have "personal assistant" to connect callers to, you might want to send them to your cell phone, or other phone number.

Learn the Lingo
Find-Me/Follow-Me is a Gopher Messaging feature that enables callers to be forwarded to a series of numbers in an attempt to "find you" or "follow you" based on the criterion you set up.

Enable Find-Me/Follow-Me
1. After logging into Gopher Messaging, click on Options in the left navigation bar. A list of user preferences is displayed.
2. Click on Call Treatment under the Find-Me/Follow-Me category. The call treatment options are displayed.
3. To edit the call treatment options, click on the Edit button located in the upper right.
4. Click the checkbox next to Find-me/Follow-Me Enabled.
5. Check the Reach me at option and type the 5-digit extension or 10-digit number in the field provided.
6. Click Update to save your changes.

Create a Separate Greeting for After-Hours

Enter your work schedule and you can have a separate after-hours greeting.

1. After logging into Gopher Messaging, click on Options in the left navigation bar. A list of user preferences is displayed.
2. Click on Work Schedule under the User Information category. The current work schedule is displayed.
3. To edit the schedule, click on the Edit button located in the upper right.
4. Set the Working hour starts at and Working hour ends at times for each day of the week using the drop-down menus provided.
5. For those days that you have the entire day off, select Weekend for the start and end times (even if it's not a weekend day).
6. Click on the Update button, located in the upper or lower right, to save your changes.
7. Record an After Hours Greeting through Manage Your Other Greetings in your voicemail personal options.
