Enterprise Financial Systems Training

The following is meant to clarify some questions you may have as we move closer to implementing the financial service team model and gearing up for the new financial system. This will be an agenda topic at the HR/Fiscal meeting next week in order to provide more information and answer questions.

Who needs training to access the new Enterprise Financial System?
Generally, if you are a preparer, approver, fiscal monitor, want access to reports, or are involved in grant activity, you will need some EFS training.

What training classes do I need to take?
The following is a tentative list of the EFS classes being developed for financial users who are part of a financial service team or who will be doing departmental work:
   Preparers (financial service teams and departmental designated activities)

  • Asset Management
  • Bank Card Reconciliation
  • Basic Accounting*
  • Basic Accounting II
  • Chart of Accounts (EFS)
  • Create Requisitions (for purchasing)
  • Departmental Deposits
  • Endowments
  • Procurement Card Reconciliation (PCAR/ECAR)
  • Receiving Purchases*
  • Travel Authorizations and Expense Reimbursements
  • Vendor Inquiry*

Preparers (financial service teams only)

  • Create Bills
  • Journal Voucher Entry and Processing
  • Payment Voucher Entry and Maintenance
  • Procurement Specialist

Approvers

  • Journal Voucher Approvals
  • Payment Voucher Approvals
  • Procurement Card (PCAR) Approvals
  • Requisition (purchasing) Approvals
  • Travel and Expense Approvals

Fiscal Monitors (financial service teams only)

When do I need to take training courses?
So that information is fresh, Central EFS has determined that the bulk of training will be available to employees April-June 2008. Approximately 84 new training classes have been created or are in the development stages. Of those, about 40 are for cluster and departmental designated users.

The core training requirements that most everyone will need includes Basic Accounting (available online) and Chart of Accounts EFS (instructor-led). These courses are available now. If you are a preparer, approver, fiscal monitor, want access to financial reports, and/or are involved in grant activity, you are strongly encouraged to take these courses now. Please also make sure other financial users in your department are aware of and sign up for these training requirements as well.   

Where do I go to access online and instructor-led training?
Access to the online Basic Accounting training, registering for instructor-led Chart of Accounts EFS, future courses, and assessments may be found at http://www1.umn.edu/ohr/trainingservices/financial/efs/

How many instructor-led classes are there?
Approximately one-half of the departmental and cluster designated courses will be instructor-led, and one-half will be online.

How will I know when and which courses I need to take?
Training services will be preregistering staff for courses. You will be receiving an email with your training registration assignment. You will also be receiving a "post card" from the Org Design team and your supervisor indicating which classes we have indicated you need to take.

Why do I need to take training courses and assessments?
Central EFS has determined that training and assessments are critical to ensure that staff is prepared to use the new system to its full potential. The assessments were developed to help ensure that staff understand how to use the new financial system and are familiar with the new policies and procedures before they gain access to the new system.
