EFS Chart of Accounts (COA) Mapping Update

This is a reminder that as of February 1, 2008, all new requests for non-sponsored CUFS accounts in the current system will need to also provide the EFS/Peoplesoft account string (Fund, DeptID, Program and Optional Chartfields) in the NOTES section of the chart of accounts request form.

Requests that do not include the EFS account string will be returned by the Controller's Office.

All COA requests should be routed to Peggy Buckley (mab@umn.edu) for college approval. She will work with you to help determine the appropriate EFS/Peoplesoft account string.

The EFS Chart of Accounts for the college is being finalized, including the requested optional CHARTFIELD 2 values. If you have need for additional Chartfield 2 values that were not included in the original mapping last spring, please contact: Cathy de Ranitz, (burke020@umn.edu).

A list of new EFS account strings that were mapped last spring will be sent to departments shortly.

Effective spring 2008, all faculty activity reports and curricula vitae must be submitted electronically.

FARs and CVs should be submitted as separate files; pdf attachments strongly preferred.

IRIS Entry Training and Spring 2008 Entry Deadline:

The deadline for spring 2008 IRIS entry is March 10th.

We have scheduled IRIS entry training for all new staff, staff new to IRIS, and anyone else who would like to learn more about the system.

The training is scheduled for Monday, February 11th from 2:00-3:30 in Rm 202 Johnston Hall.

Important Payroll Reminders

Remember to run the report found in Management Reports entitled: "Graduate Students Hired on Higher Tuition Fringe Rate Who Qualify for the Lower Rate."

This will ensure that your department is not paying a higher fringe rate than necessary.

If you find a grad student on this report who qualifies for the lower rate, please prepare a new HRMS entry worksheet with the lower fringe job code, and send it to the CLA Payroll Office in 209 Johnston Hall. This will allow us to update the information in People Soft. REMEMBER: This is an excellent way to save money on fringe benefits for your department.

There is also a report in Management Reports entitled: "Employed Students with Unused Work Study Awards." Make sure to speak to the student(s) employed in your department who are also listed in this report about using their work study funding for their appointment. This is an excellent way to save on salary expenses in your department.

If you have students who wish to use their work study funds, who already have an appointment in your department, please e-mail the CLA Payroll Office about setting up work study for these student(s).

CLA Open House

The Office of the Associate Dean for Undergraduate Programs is seeking volunteers for the 5th Annual CLA Open House. The date is set for: Saturday, April 5, 2008.

This year's extravaganza will be held once again on the West Bank. There are many, many special volunteer opportunities waiting for you. Please choose from three options:

  1. AM Session (7:15 a.m. - 12:30 p.m.)--Snack Pack received at check-in
  2. PM Session (12:00 p.m. - 5:00 p.m.)--Snack Pack received at check-in
  3. ALL DAY (7:15 - 5:00 p.m.)--Lunch provided

HRMS Overpayments / Off Cycle Checks Training

The University continues to see an increase in overpayments and off-cycle checks to employees. In order to create awareness of the cost impact that overpayments and off- cycle checks have on the University, Training Services is offering two online courses to address this increase in overpayments and off-cycle checks.

If HRMS hiring authorities, HRMS users and HRMS Pros were unable to attend the training courses on this topic offered earlier in the academic year, it is highly recommended that you go online to access these two training courses.
