New UM Reports

Three new reports are available in UMReports, and one report is available from EDMS for Academic Vacation tracking.

UMReports (under "HR Reports")

  • Employee Current Jobs and Related Information (found under "Section VIII - Vacation, Sick and Comp Information") -this report now includes information for academics on vacation hours used, balance and liability.
    • NOTE: Sick, Comp, and Service Hour information will showup as "N/A" on academics.
    • At the top of the page for "Employee Vacation/Sick Usage Summary," there is a link to a summary of the vacation activity by pay period for academics, going back to the pay period 4-12-09.
  • Under Payroll Reports: Vacation, Sick and Comp Balances
    • Reports can be pulled by the individual or College/Administrative Unit and then further refined underneath.
    • When doing a College/Admin Unit sort the report always sorts academic employees in the upper section. When using the resort button on the column headings academics will always stay sorted at the top, academics and staff will never intermingle.

EDMS

  • UMBNU007C ACAD EMPLOYEE WITH A MAXIMUM VACATION BALANCE
    • This new report indicates those academics whose vacation balance is 176 hours (the very maximum).
    • New versions of this report will generate every pay period.
    • Units should periodically review this report, so they can remind individuals to turn in vacation slips that may have been forgotten.

On Wednesday, April 29, 2009, the entire CLA Fiscal Administration Group (including your Financial Service Teams) will be off site for a staff retreat. The retreat goes from 8:00- 2:30. Ending at 2:30 will allow staff-time to address any late afternoon work tasks.

Since we want all our staff to participate, we wanted to give you plenty of notice that there will not be anyone here for most of that day to assist you. Our financial services team leads, however, will be periodically checking their voice messages throughout the day in case an emergency should arise that can't wait to be addressed.

Since this is a pay entry week, we need your assistance as well. We are asking you to make every effort possible to see that timecards are approved and delivered to your service team by the end of day Friday, April 24th. This will allow the service teams enough time to enter these by the end of the day on the Tuesday before the retreat. We understand that this may not be possible for everyone, but the more timecards turned in early will greatly help us out and allow us to all participate in our retreat.

A Note of Appreciation

On behalf of the Office of Undergraduate Programs, I am writing to express our sincere gratitude and appreciate for your assistance with our 6th Annual Open House for admitted CLA students and their families. On Saturday, April 4th over 1400 students and families were on campus for us to showcase first-hand the College of Liberal Arts experience. Your willingness to participate and volunteer your time, talent, and expertise was critical to our success. The feedback from student and their families was extremely positive. They praised us for our organization of the event, programming options, and the opportunity to meet and talk with faculty members.

Your participation and outreach helped make Open House a big success. Thank you for collaborating with us to recruit the Class of 2013.

Summer Appointment Process Clarification

Academic Hiring Authorization (AHA) forms are REQUIRED for ALL P&A Summer appointments. CLA HR will work with CLA Payroll to approve the appointment and confirm that minimum enrollments are met.

Provost Forms may be required depending on the nature of the appointment. CLA HR will let you know if a Provost Form is required and will work with you to complete it if necessary.

Submit AHA forms through the CLA HR email account by Friday April 24th at: clahr@umn.edu

Monthly CLA Financial/Human Resources Meeting

The CLA Financial/Human Resources Meeting is this Thursday, April 23 from 9:00 - 10:30 a.m. in the Minnesota Population Center Seminar Room (50 Willey Hall - west bank). The meeting agenda is attached.

PLEASE NOTE: The Minnesota Population Center Seminar Room is in the main work area for the center and you pass many workstations on your way to the room entrance. We ask that you be respectful of people who are working in that area by coming in and going out as quietly as possible and by limiting your conversations to inside the seminar room or in the outer corridor of Willey Hall.

Military, Court Appearance, or Civic Duty Leaves

As part of the comprehensive review of administrative policies, the Human Resources policy "Military, Court Appearance, or Civic Duty Leaves" has been reviewed and updated.

The updated administrative procedure "Requesting a Military Leave" is available at: http://policy.umn.edu/groups/hr/documents/procedure/milcourtcivicleave_proc1.cfm

Both the policy and procedure also can be accessed through the Office of Human Resources web site.

Key changes to the policy include eliminating language about military family leaves (now included in the administrative policy "Family and Medical - FMLA Leaves") and including paid leave to serve as an election judge. Also note some clarifying language regarding military leaves.

Instructional Funding

Replacement teaching funding requested through IRIS for fall 2008 has been transferred to program 20031 onJE# 0000068855.

A message from the Department of Communication Studies

Joan Lund, Department Administrator for Communication Studies, will retire on April 30, 2009. She began work at the University of Minnesota on May 1, 1966 and has worked in the department since the fall of 1967. Joan“s dedicated service over these decades is priceless. The countless number of faculty, students, and staff Joan has supported is remarkable. We are very grateful for the professional support and care she has provided.

A reception will be held at the Campus Club in 412 Coffman Memorial Union on Thursday, April 23rd from 2:00-4:00 pm. A short program will begin at 3:00.

Please join us for the event to share memories, thank her, get a small glimpse into her noteworthy career, and wish her well.

Approvals for Capital Equipment Asset Disposal Form

The new version of the Capital Equipment Disposal Form (UM 1393) revised 1/27/09, requires the RRC Manager approval. The prior version required the Dept. Head or Admin. Officer. Please continue to have your Chair, or Administrator approve before submitting to CLA Fiscal Administration, 208 Johnston Hall, for RRC approval.

The Dept. approval may be signed on the last line of the box titled - DEPARTMENTAL REASON FOR REQUEST.

This path only applies to non-computer assets, if the disposal involves computer equipment, you must work with CLA OIT to make sure it is removed from their Records.

Revised FMLA Documents

A Revised Administrative Policy, Procedures, and Forms on Family and Medical Leave (FMLA) are now available. Eligible employees receive 12 weeks of leave in any fiscal year related to their own or their family's serious health conditions, or for birth, adoption, or foster care placement.

FMLA protections now include military family leave. The types of paid leave that can be used now include compensatory time for newly initiated FMLA leaves.

New customized forms are available for each leave type.

Academic Employee Vacation Tracking

CLA requires the use of the official "Faculty/P&A Vacation Leave Reporting" form for reporting vacation leave for academic employees.
