Come to learn and refresh your knowledge about the many new features that have been built into our Intersection: Hire a Grad module since it was first launched in 2009. We are in the final "polishing" phase of implementation and want to provide an opportunity for a refresher/update and have your questions answered. Steve Hanson and Scott Appelwick will be presenting.
The Computer Replacement Program (CRP) will begin the week of December 13 with some significant changes:
- No fall/spring purchasing rounds. Departments can replace an eligible computer as necessary, or desired.
- Printed Budget (PB) computers (for faculty or staff on the college's recurring O&M budget) are eligible for replacement when they reach 3 years. They expire at 4 years and must be returned to CLA-OIT. In effect, departments will have a full year to decide when to purchase a PB replacement.
- Computers older than 3 years that break will be replaced--not repaired.
- CLA-OIT will provide each department with monthly reports on what is eligible for replacement and what will soon reach the end of its operational life. Our first report, focusing on PB computers, will be sent to departmental administrators and technicians the week of December 13.
Additional details regarding the "Teaching Staff" and "Grad Student" computer programs will be available soon.
Academic Holiday to Use
Just as a reminder, the academic employees on the Twin Cities and Rochester campuses have a floating holiday to use during the period between semesters. It may be a good idea to remind academic employees of this option as they make their plans for either work or leave during the winter closure.
The language is located on the OHR website and is quoted below.
Twin Cities and Rochester Campuses -- Academic Employees
A personal holiday has been added for academic employees on the Twin Cities and Rochester campuses to bring their total up to 11 holidays, consistent with other employee groups and other campuses. The personal holiday for academic staff (on the TC and Rochester campuses only) for FY 2011 must be taken between December 23, 2010 and January 17, 2011. If not used in that time period, it is lost. This holiday cannot be banked or utilized outside of this window. The specific dates of this window will change in future years consistent with the academic calendar. Approval and tracking of this holiday is the responsibility of the local unit.
This personal holiday applies to those whose terms and conditions of employment are covered by academic, graduate assistant, or professionals-in-training policies. CLA Is Closed December 24 - January 2
CLA administration will be closed during the University's winter closure period of December 24 - January 2. This is a cost savings measure and no services will be provided by the CLA administrative offices during the closure. Please plan for earlier deadlines from our offices in order to accommodate work needs prior to the closure.
Urgent matters that cannot wait until January 3rd should be directed to 612-624-9839. This particular voicemail will be checked at least once a day throughout the closure. Safety or building problems should be reported immediately to 911 or 624-2900.
Unit specific information and deadlines for CLA Administration are as follows:
UM Foundation will be open Dec. 28-30. Regular gift processing will take place during this time. If you need to reach someone at the Foundation, please call 612-624-3333. Please make certain all gifts on hand have been deposited by the end of day on Thurs., Dec. 23. Please include all envelopes to anything that is sent to the lockbox. On Jan. 3, please make it a priority to sort through mail and deposit all gifts as soon as possible, and including envelopes from donors for postmark purposes. All gifts postmarked by Dec. 31 will be processed as 2010 gifts. Envelopes must be included throughout the month of January for postmark purposes.
Faculty and Human Resources:
Requests related to the various aspects of HR/Faculty work such as pool approvals, requests to search, and job offers, are to be fully submitted to our office by Friday, December 17, if approval from the college is needed prior to the winter closure.
Expense reimbursements, requisitions, and timecards need to be submitted to the service team by Friday, December 17 in order to allow enough time to process prior to the winter closure. December 22 is CLA Payroll's deadline for spring appointments. Be sure to submit requests to your service team ahead of this date to allow time to review and process. Those receiving printed paychecks will have their 12/29 paycheck mailed to the home address as it's listed in the system on 12/27.
CLA info tech professionals will be monitoring the networks and can be reached for critical outages and issues at 4-HELP (4-4357) or firstname.lastname@example.org.
Content Updates: The last day to request web content changes before the
winter closure is Dec. 21. Requests submitted after Dec. 21 will be
completed the week of Jan. 3, in the order received.
Visual Resources Center / Digital Content Library: Submit content for processing by Dec. 20 for posting by Jan. 7.
Media and Public Relations:
CLA E-News will be on break during the University Winter Closure. The last issue before the break will be on December 16; deadline for the January 13 issue is January 7, 2011.
Planning and Space:
All CLA buildings have been identified as non-active. Buildings will be locked and will require key or card access, snow removal will be done for one entrance to building, temperature reduced to about 65 degrees, and no custodial service. Building problems (evidence of break-ins, broken pipes) should be reported immediately to 911 or 624-2900. CLA emergency contact is Scott Elton (cell phone #612-423-0683).
Research and Graduate Programs:
Sponsored grant deadlines vary and the University has set earlier deadlines to adjust for the closure. Please contact Gayle Anderson, CLA Grants Management Coordinator if you need grant management assistance pertaining to the earlier deadlines.
December 17 is the deadline to 113 Johnston for receipt of Degree Program forms, Thesis Proposal forms, Request for Preliminary or Final Oral committee members external to the University.
