CLA Staff Appreciation Event - Hold the Date!

The CLA Staff Appreciation event will be held  on Tuesday, January 24, 2012 from 2:30-4:30 p.m in Memorial Hall, McNamara Alumni Center.  This event honors the CLA Outstanding Service Award recipients.  OSA notification e-mails will be sent in the next few weeks.  Please contact Angie Plambeck (plambeck@umn.edu, 5-1805) for more information.

Open Enrollment: November 30 Deadline

The open enrollment deadline is Nov. 30. Employees who participated in the HealthPartners U Classic Plus plan during 2011 must choose one of the Medica plans in order to have medical coverage in 2012. Those otherwise satisfied with their current medical and dental plan choices do not need to re-enroll; current plans will continue into 2012. Regardless of medical plan, all employees who wish to have a flexible spending account in 2012 must enroll at this time. This year, participants also have a one-time opportunity to enroll in or increase the amount of short-term disability insurance without medical evidence of insurability. 2012 Medical Premium Relief Program

The University established a one-year Medical Premium Relief grant program to provide assistance to lower paid employees during this year of high increases in the employee contributions for the UPlan Medical Program. Qualification for the grant program is based on your tier of UPlan medical coverage and total household income from the 2010 federal tax form.  If you are eligible to receive the grant, you must apply by December 15, 2011, to get the full premium credit amount. You will need to submit the application along with a copy of your 2010 tax form to Employee Benefits to document your household income. Personal Holiday for Academic Employees

A personal holiday has been added for academic employees on the Twin Cities campus to bring their total up to 11 holidays, consistent with other employee groups and other campuses. The personal holiday for academic staff for FY 2012 must be taken between December 22, 2011 and January 16, 2012. New Administrator in GWSS

Dear GWSS faculty, students, and staff,

I am delighted to announce the appointment of Angela Brandt as Associate Administrator in the Department of Gender, Women, and Sexuality Studies.  Angela will begin her appointment on Monday, December 19, 2011.

Angela comes to GWSS with nearly ten years of working experience at the University of Minnesota. Most recently, she has worked as Project Specialist with the GroupLens laboratory in the Department of Computer Science and Engineering.  Angela received her B.A. in Counseling Psychology, Sociology and Human Resources from the University of Minnesota, and is working on a M.S. in Human Resource Development and Online Learning in the College of Education and Human Development. She brings a wide range of skills, talents, and experience to the position, and I am excited about having her join us.

I am grateful to the search committee for their assistance in filling this position:  Jigna Desai, Bea Dehler (Communication Studies), and Colleen Hennen (American Studies).

I'm so pleased that Angela will be joining us, and we'll look forward to welcoming her in a few weeks!

Work Study

Splitting Student Work Study Awards
If you have employed a student who has given your unit permission to use their work study funds but they have also authorized another unit to use their work study award, you will need to obtain their written permission to split their award. This permission will need to contain the amount of the work study award that the student wants placed with each job. Please forward this information to your service team along with the appointment information.

Using Student Work Study for an Existing Appointment

If one of your current student employees receives work study and has authorized your unit to use that work study, the work study will need to be placed in Peoplesoft. Please forward your request to place the work study with your unit to your service team.

Retroactive Work Study Awards on hold
The Office of Student Finance has informed us that retroactive work study requests are on hold until further notice.

You may already be familiar with the CLA Technology Grant Program but did you know we've updated our online information? Full descriptions of the three types of grants can be found in CLA-OIT's Service Catalog:

Most importantly, the CLA Technology Grant Committee is now accepting applications with a deadline of Wednesday, January 11, 2012.

Group training sessions have been scheduled for the new STAR tool in DMS! The tool is designed to assist those who have a role in scholarship finance and award administration (those who do projections, scholarship entry, general scholarship management). If you work with scholarships and have not attended training, please plan to attend one of the following STAR training sessions:

Regarding access, users must attend a STAR training to be granted DMS access to use the STAR tool. CLA users should contact Rose Pederson to request STAR access, after you have had the STAR training. Note that we must hold on submitting access requests pending some access issues yet to be worked out.

Additional information about STAR:  The Scholarship Tracking and Reporting (STAR) database is being built in DMS and tracks all scholarships and fellowships paid to students, no matter the funding source (UM Foundation, O&M, Treasury Accounting.) STAR will pull balances for scholarship and fellowship funds from EFS and DMS.  The goal is to have the database fully functioning and everyone trained so we are using STAR for projections to make FY13 awards.  Anyone interested who is in a role involving projections, administration or awarding of scholarships may sign up for training.

CLA-OIT System Maintenance Window

Saturday

  • Google Apps (Gmail, Docs, Sites)
  • Active Directory File storage (Home, Shared, Project folders)
  • CLA Terminal Server

Specific Details

  • Database Upgrades:
    • upgrade all MySQL databases to version 5.5 for audit compliance
  • Security Patching:
    • physically moving servers
    • perform routine maintenance tasks which will require rebooting most Unix servers

FAQ

What is a "system maintenance window"?

In order to correct a technical issue, install a security patch, or upgrade server hardware, CLA-OIT must occasionally disrupt normal networked services. Whenever possible, we plan such service outages in advance during times that minimize the disruption to our users.

Can I work during the maintenance window?

In general, CLA-OIT recommends that you avoid using the affected services during the maintenance window. Systems may be available during the maintenance window, but they can and will be shut down without warning and may be unavailable for hours at a time. So, use only at your own risk.

Can't this be done without disrupting service?

Certain tasks require server reboots and/or physically unplugging electricity. We do our best to group these tasks together to minimize the number of outages we schedule each year--which is generally less than five.

Can you reschedule this window to a more convenient time?

CLA-OIT strives to select times that minimize disruption. It isn't possible to pick a time that will not affect somebody. We also have to consider the availability of our staff and central OIT staff who run the data centers and networks. We try to soften the impact by announcing maintenance windows well in advance.

Why wasn't this work performed during the recent University-wide data center outage?

Since the previous maintenance affected such a large number of systems and users, significant efforts were made to minimize the amount of downtime--extra projects like this database work was discouraged. In addition, all the servers were powered off during the window and unavailable for additional maintenance.
