W-4 and Direct Deposit Forms

Some units are still including W-4 and Direct Deposit forms in their intake packets for new employees. Remember these services are now available online at Employee Self-Service. Please remove the W-4 and Direct Deposit forms from your intake packets and direct new employees to http://hrss.umn.edu. Of course new employees need to have job data entered before they can use Employee Self-Service, so please direct these employees to these online forms and other employee features on the self-service site after their appointments have been entered.

B-Term Foreign Nationals

Payroll Services must enter additional information for the set up of foreign nationals. If you have a new foreign national on a "B" term appointment, please make sure to let your service team know about this new employee as soon as possible. Payroll services would like to have these employees entered by Monday, September 10.

I-9 Information for Foreign National Employees

The following is an amended communication from Laura Negrini, Associate Director for Payroll Services

With the start of the school year fast approaching, Foreign Nationals need to complete their payroll paperwork.  Walk-in service will be available from August 29 through September 7 in room 100 Donhowe and 545 WBOB. Individual appointments will not be scheduled during this time.  Foreign Nationals can expect to spend 10-15 minutes completing the necessary paperwork and online I-9 form.

The online I-9 form must be completed within the first three days of employment. Review the start date of your Foreign National employee(s) and make sure they come on the date that ensures compliance with the 3-day rule.

Who should and should not attend?
  • All new foreign national employees with fall term appointments should come to Donhowe (on or after their hire date) to complete the I-9 and other paperwork.
  • Foreign national non-service fellows (company UNS) should not be sent to Donhowe as they do not need to complete the I-9 form.
What should be done before the foreign national employee comes to Donhowe?
  • Your Foreign National employee(s) must visit the Office of International Student and Scholar Services (ISSS) before starting work and completing the I-9.
  • If they do not have a social security number, they must apply for a social security number at Social Security Administration before coming to Donhowe.

What documents should the foreign national employees bring to Donhowe?

FY13 Pay Plan Adjustment Transfers

The FY13 post budget pay plan adjustments for P&A and TA/UI were transferred to units on August 28. The document numbers are 0000433966 for the P&A transfer and 00004339691 for TA/UI.

Reminder for New Employees

Please advise new employees that their home address and phone are automatically published in the online directories unless they take steps to suppress the information. Personal address and phone information can be suppressed for new employees at the time of initial entry into the payroll system, if requested on the HRIF, but employees should be directed to employee self-service as well so they can maintain their own address and suppression levels.

Web Team Transition

Dan Kunitz, CLA Web Team lead and project manager, will be leaving CLA-OIT on Friday, August 31. Dan has accepted the position of Digital Content and IT Professional at the U's Institute on the Environment where he will continue to lend his expertise in the web realm while branching into new territory at the IonE's service desk. As an avid conservationist, Dan and the Institute will be a wonderful fit. Our loss is most certainly their gain!

Student Employment Programs Reminder

Hello: The Job Guarantee Program event is approaching! We would like to invite you back this year to participate in the Job Guarantee Program for new incoming freshman. As this is a very busy time of the year, and in an effort to accommodate your department busy schedules and time constraints, our Job Fair will be held from 9:00am-1:00pm, Wednesday, September 5, 2012 in the Mississippi Room at Coffman Union. Please see the guidelines for more information.

As you know we had tremendous success with this program in years past and with your help look forward to another successful year. This year, we have accepted 500 freshman students into the program and hope you will participate again. Many of the students will have work-study awards, however, some may not. We ask that you consider all qualified students for hire regardless of the student's financial status.

If your department is interested in participating in this program this year, attached you will find the registration form. I-9 Days for Foreign National Employees

With the start of the school year fast approaching and need for Foreign Nationals to complete their payroll paperwork, we will hold one (1) I-9 Day to accommodate the volume of activity. In addition, appointments will not be scheduled from August 29 through September 7--walk-in service will be provided instead. Foreign Nationals can expect to spend 10-15 minutes completing the necessary paperwork and online I-9 form.

I-9 day will be held in room 315 Donhowe on the following date:

Tuesday August 28, 8:30 a.m. - 3 p.m. (Note: no I-9 service at WBOB on August 28).

Walk in service will be provided in room 100 Donhowe and 545 WBOB on:
  • August 29 - September 7

We will need an HRIF form for new graduate student employees who do not have historical appointment information in HRMS. This is because new appointments in HRMS need the following three addresses input into HRMS: home address, campus mail address and campus office address.

When submitting these forms to payroll for new employees, please make sure that you fill out the form completely.

Fall Appointments - Payroll Office Reminder

In an effort to set a payroll deadline that is achievable for most departments, the deadline for fall appointments to be received in the CLA payroll office is 8/22/12. Keep in mind that your service team will need additional time to get appointment documents prepared and over to the Payroll office so please coordinate this work with your service team.

Please submit offers and payroll information to your team as soon as offers have been confirmed and avoid waiting until the last minute if at all possible.

FY13 Soft Commitment Transfers

Fiscal Administration staff are currently working on FY12 year-end reporting and FY13 post budget compensation adjustments. As in previous years, we will begin working on FY13 collegiate soft commitment funding transfers in late August/September.

Intersections GradTracker: Placements Launches

Placement data is a key indicator of the success of a graduate program. This summer we are introducing the second GradTracker module, GradTracker: Placement. This module should make it easier for programs to provide this information for your most recent graduates. The module will be live today, August 15, 2012 in Intersections GradTracker. Your recently graduated students will be listed under the "All Dept Placements" link. Select a recent grad and click "New Placement" to enter their placement(s). Please contact Wendy Friedmeyer ((612) 624-9815, fried053@umn.edu) if you have any questions. Because this module is just being launched, the deadline for entry this year is Wednesday, September 12, 2012. (Normally, the deadline would be September 1st.)

CLA First Year Experience

Starting this fall, all CLA first year students will participate in the CLA First Year Experience. The CLA First Year Experience is designed to encourage students to make connections with learning opportunities as early as possible in their college career. It is a two-semester course (CLA 1001 & 1002, 1 cr. each semester) designed to organize a variety of in-class and out-of-class learning experiences and reflection opportunities that will engage students in carefully charting their own educational path on the basis of their strengths, values, interests, and motivations. In this work, we will encourage and support students in taking full advantage of the many campus resources as they develop, reflect on, and implement their educational plans. The First Year Experience will be delivered online (through moodle), with a variety of in-person experiences built in. Among other topics, students will be introduced to the value and purpose of a liberal arts education, how to explore potential majors and departments, and the advantages of connecting with faculty and academic support staff early on and often.

More information about the CLA First Year Experience, including information about the Common Reading and descriptions of the 2012 Themes, can be found at class.umn.edu/cla1001. Faculty members will be hosting a variety of sessions related the Common Reading on CLA College Day (August 30) and during the course (Common Reading week is the week of Oct. 15).

Departments can help by sharing upcoming events and opportunities that they wish to promote to first year students with us by emailing stuprogs@umn.edu. Sharing any feedback that you hear in your departments is also greatly appreciated.

CLA-OIT Staff Updates

We are pleased to announce that Deb Ludowese has been appointed CLA-OIT's department administrator. Deb's experience as assistant to the CIO, manager of large projects like last year's CLA IT audit, and formerly as assistant to the college's CFO provide her with a broad base of skills to serve our dynamic and ever-changing department. Deb has a B.A. from the College of St. Benedict and both a Project Management Certificate and Professional Trainer Certificate from the University of Minnesota's College of Continuing Education. Please join us in congratulating Deb in her new role.

Mark Foreman has joined Kemal Badur's Research Computing, Infrastructure and Development teams as Project Manager. Dr. Foreman's research and administrative experience will be an asset to the team as we grow a more comprehensive suite of research services for the college.

Beginning on Wednesday, August 15, if you connect to cla-ts.cla.umn.edu you will reach our new wts.umn.edu terminal server farm. Instead of having only one server to handle your Windows computing needs we'll have three, allowing for a significantly faster computing experience.

What's Changing

  • New name: connect to wts.umn.edu instead of cla-ts.cla.umn.edu.
  • Updated versions of all applications.

What's Staying the Same

  • Connect through VPN.
  • Access to your shared and home drives.
  • Access to applications like Microsoft Office, Firefox, and Adobe Reader.
  • Your preferences and data will still be stored on the network.

An Announcement from the Office of Student Health Benefits

Dear Department Contacts,

The 2012-2013 Graduate Assistant Health Plan year is almost here and enrollment is underway. Packets have been mailed to all returning Graduate Assistants who need to reenroll for coverage this fall.

A few important reminders:

  • Please direct your newly hired graduate assistants, trainees, and fellows to the enrollment information, including brochures and forms, on our website http://www.shb.umn.edu at your earliest convenience. Paper packets are available. If you would like paper packets please email a request to our office. You do not need to disperse packets to currently enrolled GA's.
  • Please make sure all assistantships are posted in HRMS prior to the first day of employment. Assistantships must be posted in order for employment to be verified by the Office of Student Health Benefits. Enrollment cannot be processed until employment is verified. Posting assistantships in HRMS will ensure your students receive their health plan cards in a timely manner.
  • Fellows and trainees must complete the regular enrollment process PLUS submit a Department Authorization Form. The Office of Student Health Benefits cannot process fellow or trainee enrollment without a completed Department Authorization Form. Departments do not need to complete this form for teaching assistants or research assistants.
