Phases of Conversion

There will be two main phases of the Data Warehouse and UMReports conversion. Phase I includes all tables and reports that will be converted by July 1st. Phase II consists of tables and reports that will be completed in the months following July 1st. The datagroups can be viewed below:

Access to DWTEST

There have been many questions about how to get access to the DW test instance to start viewing table related changes occurring in the DW. This is a summary of what is in DWTEST and how to request access.

DWTEST is a test instance for the Data Warehouse to test ETL jobs that create tables and load data into the Data Warehouse data groups (DWPY, DWHR, DWTA, etc.). Be aware that not all data in DWTEST is refreshed on the same schedule as it is in DWPROD and it is a test instance so expect to see test data.

Initially access to DWTEST was granted by the Data Warehouse but that has changed and OIT Data Security now handles access. Unless you are using a functional ID (IDs granted to departments not users), you will need to use your M-Key to login.

To request access from OIT, fill out the Access Request Form on the Data Security website. Under step 3 on this page. Under the 'Statement of Requester's Business Need', state that that you need access to DWTEST with the same permissions granted in DWPROD and include a short description of the business need. If the access is being requested for a functional ID, be sure to include that information.

Once you have completed and returned the form to Data Security they will grant access to DWTEST for the ID specified. That ID will be granted permissions to the same roles that the ID has in DWPROD.

PLEASE NOTE: DWTEST is a test instance and often times while the tables are being worked on they are not included in any roles, so if you don't see a table that does not mean it doesn't exist. If you are looking for a specific table or view please send me an e-mail at joh02855@umn.edu.

Security and Access Overview

There are three main questions that have been asked of the DW in relation to security:

1. Where can I see updated Data Warehouse tables?
2. How do I access financial data?
3. How can I download financial data?

Please see below for answers to these questions:
1. Updated Data Warehouse tables can be viewed on the DWTEST instance. Please see the blog post on 'Access to DWTEST', for information on gaining access to this instance. Once you have been granted permission you should also be able to access the test instance through the following link: https://dw-test.ims.umn.edu/. Please comment here or send an e-mail to joh02855@umn.edu if you have a problem.

2. Financial information in the Data Warehouse under the DWFS data group will become static after CUFS closes for the fiscal year. After July 1st all financial reporting will be done through the PeopleSoft Financials Reporting Instance which can be found here: PeopleSoft Financials Reporting Instance. A lot of information regarding this reporting instance can be found here: https://wiki.umn.edu/view/EFS_Data_User_Group/WebHome.

Currently you gain access to this site by emailing Bill Decker (w-deck@umn.edu), though this will likely change in the coming months.

3. Downloading of specific financial data through the Data Warehouse requires a special access form (FInancial Table Access Form). Access will only be granted to functional IDs with a well documented business need for this information. This document discusses the solution. A reference to the commonly used tables documents the views that will be available. You still need to request access to DWTEST to see these views. Watch this blog for updated information on when the final list of table views will be available.
