• PS_DWEO_PERSON_PRIM_JOB:
  • DEPTID values may be 4-5 characters.
  • CUFS_AREA will be populated on for 4-character DEPTID rows; otherwise NULL.
  • AREA_CLASS will be replaced with RRC.
  • AREA_CLS_AME30 will replaced with RRC_DESCR.
  • AREA_CAT will be replaced with VP.
  • AREA_CAT_NAME30 will be replaced with VP_DESCR.
  • Added column UM_ENTITY, which represents the HR DEPTID.
  • Added column UM_ENTITY_DESCR.

This is the first in a series of communications from UM Reports.
More detailed information will follow prior to EFS go-live.

Beginning July 2008, the University will use a new financial system.
This system will impact UM Reports in the following report categories:

Finances
Beginning July 1, 2008 reports in the Finances category will no longer by updated and will not have the option to run reports in this category for Fiscal Years 2009 or later.

More information about financial reporting available in the new system can be found at: http://www.finsys.umn.edu/Reporting.html.

Reports in the following Financial sub-categories will remain on UM Reports for historical purposes only:

• All Funds Reports
• Budget UM Reports
• Executive Reports
• ICR Reports
• Non-Sponsored Reports
• Obj/Rev Reports
• Period Comparison Reports

• University Stores

HR & Payroll
Reports and prompts in the following sub-categories will reflect changes where applicable:

• Collegiate Personnel Plans
• EOAA Reports
  

Payroll data changes: The payroll reports will display the new ChartFields (Fund, DeptID, Program, Project, Account, ChartField1, ChartField2, Fin EmplID, Cost Share). In addition, we are planning to add the new Combo Code to the payroll reports, with the option to hide this column. More details about the payroll reports will follow at a later date.

Student & Instruction
Starting Fall 2008 Academic Org will change to a 5 digit value and align with the new Financial System. Academic org values prior to Fall 2008 will not change.

Changes will be made to one DWSF table. In general, we are incorporating EFS chartfields to this table.

• PS_DWSF_SF_ACCTG_LN_09:
  • EFS Chartfields will replace the CUFS chartfields in the table and its successors. The preceding tables will remain unchanged. That is, tables with fiscal year suffixes of 08 and earlier will still contain the CUFS chartfields.
  • The new chartfields include: JOURNAL_ID, JOURNAL_LINE, fund_code, deptid, account, program_code, project_id, chartfield1, chartfield2, chartfield3, budget_ref, and func (function) and RRC (replaces AREA_CLASS).

Starting with fiscal year 2009, the DWPY tables will have four major changes:

• New chartfield data will replace CUFS data. The chartfields included are, fund, deptid, account, program_code, project_id, chartfield1, chartfield2, chartfield3, budget_ref, and function.
  
• The area class will be replaced with the RRC data from the financial hierarchy.
  
• A new column named "entity" will be added. This is current HR dept, e. g. 465A.
  
• Current data from the payroll system will be replaced with data from the financial module, e.g. journal id, accounting period, grant begin and end dates.

Changes will be made to six DWFA tables. In general, we are incorporating the EFS chartfields to these tables.

Changes will be made to:

• PS_DWFA_COMMUN: New DEPTID values will be incorporated into the table.
  
• PS_DWFA_SRVC_IND: New DEPTID values will be incorporated into the table.
  
• PS_DWFA_FDN_FUNDS_TBL: Will be replaced by PS_DWFA_FDN_CHARTFIELD1, which will contain short and long descriptions (DESCR_SHORT, DESCR) for the University of Minnesota Foundation Fund number, which is contained in Chartfield1.
  
• PS_DWFA_FDN_SUMMARY: A new table (which has yet to be named) will be created that will contain EFS chartfields (fund_code, deptid, account, program_code, project_id, chartfield1, chartfield2, chartfield3, budget_ref, RRC (replaces AREA_CLASS)) for Fiscal Years 2009 and later. Legacy data (Fiscal years prior to 2009) will continue to be available in a frozen table.
  
• PS_DWFA_GL_INTERFACE: The new EFS chartfields will be incorporated into the table (fund_code, deptid, account, program_code, project_id, chartfield1, chartfield2, chartfield3, budget_ref).
  
• PS_DWFA_ST_ASSISTANCE: A new table will be created for Fiscal Years 2009 and later that will incorporate the EFS chartfields (fund_code, deptid, account, program_code, project_id, chartfield1, chartfield2, chartfield3 and RRC).
