The lIbrary's "Peer-Research Consultants" are available for students in drop-in locations at Wilson, Walter or in MCAE in Appleby Hall. *NEW* this year, students can make an appointment.

What are the PRCs?
The Peer Research Consultants provide one-on-one assistance to students to help them develop the research strategies needed for an excellent research paper. They can give students an overview of using the libraries for research, formulating a paper topic and search, helping students to find scholarly articles, books, and more. They are upper-level undergraduates who have gone through 10+ hours of training and using the libraries and helping students to to the same. 

But why do we need both PRCs and Librarians?
We know from the research, that undergraduates and especially first year students can be intimidated by the libraries and librarians. The PRCs work on a peer tutor model that is successful for a variety of disciplines. Often, first year students prefer to work with a fellow student than a librarian, who can be seen as an authority figure. The PRCs often guide students to the subject librarians when needed and make it easier for students to set up that interaction.

Creating a Data Management Plan for Your Grant Application
In January 2011, the National Science Foundation (NSF) will begin requiring a data management plan will all new grant proposals. This workshop, geared toward graduate students, faculty and researchers, will provide and overview of the questions to consider when creating a data management plan with a focus on data preservation issues and tools for sharing your data, like subject-based repositories. The only thing harder than finding a relevant dataset the first time is finding it again the second time. This session will demonstrate methods for getting better results in Google searches, recommend methods and tools for keeping track of what you have found and show how the Internet Archive can help you find data that seems to have disappeared. Drop-in hours are now available for the Peer Research Consultants!  Students can sit down and get personalized help with writing papers, selecting their topics, and doing library research....one-on-one from their own peers. The PRCs are extensively trained on Library and academic literature research.

Similar to the National Institutes of Heath (NIH), the plan should describe how the federally funded research data will be shared and preserved for future use. Sharing of data consists of several practices including: accurately describing the data collection process (including methodologies and metadata), ensuring data integrity for validation/reuse, preserving access to the data for long-term, as well as securing any intellectual property rights or privacy controls for appropriate access to the data set.

We discuss these areas in detail, provide a checklist of questions to address in your data management plan, and share experiences in a small group setting. Finally, we will introduce you to some services and tools that may assist your data planning, such as tools for data sharing and publishing. 1.  Collections Update (Meghan Lafferty)
  • The University Libraries were asked to model budget cuts of 3% and 5%
  • The collections budget is a part of that planning, with a tentative target of about $750,000
  • We must also plan for inflationary increases as well, potentially another $750,000
  • Planning and data gathering has just begun; subject librarians will be communicating with departments about what might be cut
  • Please consider how you now use the collection; for example, are subject databases as core your library research as they once were?  Do you use alternatives such as Google Scholar or arXiv or Web of Science instead?
2.  New Libraries Web Site - http://www.lib.umn.edu (Janice Jaguszewski)
  • Libraries web site includes new features for those who log in:
    • Customized Library Course Pages for every course a student is taking or an instructor is teaching (can include specialized e-resources to support assignments ,and links to print and online Reserves)
    • Ability for users to save databases, journals and other e-resources for easy access
    • Direct link to the subject librarian's contact information through the "Ask a Librarian" tab
    • Recommendations based on books checked out or articles read
  • Questions raised
    • Can the recommendations be "turned off"? 
      • Currently, you may opt out of journal and database recommendations.  I forwarded the suggestion to be able to opt out of book recommendations to our web development staff, and they will work on it.
    • How do these features relate to MyLibrary on the Portal?  
      • MyLibrary combines many of the customized/personalized features on the web site into one page; however, the web site has many additional links and options.
    • Do you still need a separate ID and password to request items through Interlibrary Loan?
      • Yes, but web development staff are working on the authentication process for the ILL system so that your x.500 ID and password will eventually also work for ILL -- stay tuned
3.  Contract considerations when publishing a book (Nancy Sims) 
  • Nancy Sims, Copyright Librarian, discussed the trend of print books now being published in an electronic format and the implications for authors.  See her handout for an outline of the issues (Ebooks Issues.pdf).
  • Prof. Paul Garrett described how he posted the contents of his textbook, Abstract Algebra, on the web (both on the University Digital Conservancy, http://udc.umn.edu, and on his own web site) and then negotiated to have a print copy sold by CRC Press.
4.  Negotiating a copyright transfer agreement when publishing a journal article (Prof. Tryphon Georgiou, Electrical Engineering)
  • Prof. Georgiou described his experience negotiating with Taylor & Francis to retain some of his rights to post his article on a web site
5.  NSF requirement to include a data management plan in all grant proposals (Meghan Lafferty) 
  • Meghan distributed a handout (NSF Data Management.docx) describing the requirement and ways in which the Libraries can support you:

OPEN ACCESS GEOLOGY: USING THE INSTITUTIONAL REPOSITORY TO HOST STATE GEOLOGICAL SURVEY PUBLICATIONS


The Minnesota Geological Survey (MGS) hosts information systems containing data sets that are valuable historic and scientific resources for the state. Several options are being pursued to curate, preserve, describe, and disseminate these data to broader audiences, including web services, national data archives, and institutional repositories. One of the challenges has been to find a means to make available scanned versions of geological survey publications. Geoscience research literature is increasingly published electronically and made digitally available for immediate online access. For state geological survey publications, a library-run institutional repository (IR) can be an excellent solution to host digitized and born-digital content. In the past few years, MGS has scanned all of its publications published since 1872 through a number of library and state preservation grants. The comprehensive project included over 40,000 pages of reports, guidebooks, and bulletins, and over 600 maps, along with GIS data files from recent decades. This talk will describe how the MGS content was archived in the university's institutional repository and the issues and challenges we faced such as format decisions, workflow issues, and modes of user access.

Overview of the upcoming NSF proposal requirement aimed at facilitating the dissemination and sharing of research.

1. What is it?

Beginning January 18, 2011, the National Science Foundation will require a Data Management Plan (DMP) included with all new proposals. (This does not pertain to suppl. support to an existing award). This supplementary document, of no more than two pages, will describe how the proposal will conform to the NSF data sharing policy. The updated Grant Proposal Guide (GPG) Chapter II.C.2.j suggests things to include in your data plan. 

Important points:
  • A valid Data Management Plan may include only the statement that no detailed plan is needed, as long as the statement is accompanied by a clear justification. 
  • Fastlane will not permit submission of a proposal that is missing a Data Management Plan.
  • The Data Management Plan will be reviewed as an integral part of the proposal, coming under Intellectual Merit or Broader Impacts or both, as appropriate for the scientific community of relevance.

2. What about the requirements already in place for my NSF Program?

Data management requirements and plans specific to NSF directorates and programs should be followed. If guidance specific to the program is not available, then the requirements above apply.

3. How is it being implemented?

NSF has long had a sharing of data requirement (Award & Administration Guide (AAG) Chapter VI.D.4 Dissemination and Sharing of Research Results) that expects investigators to share with other researchers, "at no more than incremental cost and within a reasonable time, the data, samples, physical collections and other supporting materials created or gathered in the course of the work." The updated requirement (Jan 2011) goes on to say, "Grantees are expected to encourage and facilitate such sharing" and that NSF will implement these policies for dissemination and sharing of research results through:

    1. the proposal review process;
    2. award negotiations and conditions; and
    3. appropriate support and incentives for data cleanup, documentation, dissemination, storage and the like.

4. Concerns of public access to data
In many cases, the data type and disciplinary culture will determine the most appropriate place for sharing, ie. ICPSR for social science or survey response data or NODC for oceanographic data. However, not all research disciplines have established repositories for data. In the FAQ section of the DMP policy page, the following questions are posed:

There is no public database for my type of data. What can I do to provide data access?
[A.] Contact the cognizant NSF Program Officer for assistance in this situation."

My institution's policy is that the data and all supporting materials from all research are owned and must remain with the institution if I leave. How does this policy affect what I can say about data management and access?

[A.] Data maintenance and archiving by an institution is one avenue by which data preservation and access can be achieved. However, the data access plan must address the institutional strategy for providing access to relevant data and supporting materials.

3. What's being done to assist?

The University Libraries are developing ways to support research data sharing in general, and the NSF proposal requirement specifically, including:
  • New web site bringing together tools and resources for "Managing Your Data" https://www.lib.umn.edu/datamanagement
  • Workshops on data management. Since Jan 2009, we have offered a 1-hour long workshop on "Introduction to Data Management for Scientists and Engineers." Recorded version available online https://www.lib.umn.edu/datamanagement/data101
    • The workshops have been attended by mostly graduate students and from all academic schools (AHC, CLA, CSE, etc).
    • A version of this session was presented to CSE faculty who attended the Instruction Seminar earlier this spring.
  • Awareness. The University Libraries continue to provide leadership in the open access movement, and this includes all forms of scholarship, such as data. One example of "open data" advocacy was our participation in the 20-by-20 Pecha Kucha on "Open University" presented by OIT last April. 5. What's Next?

  • We plan on expanding our training into a new workshop that goes through the DMP steps in response to the NSF grant requirement:

U Faculty Joshua Feinberg, David Levinson, and Patricia Lorcin will present and have a conversation about current and future publishing practices. The panel will be introduced and moderated by University Librarian Wendy Lougee. Questions they will address include:

  • What is your journal's greatest challenge?
  • What rights do you give your authors? (e.g. ability to create derivative works, post or distribute pre/post-print, archive in the University Digital Conservatory or a subject repository)
  • At what point after publication is most of your journal's content made available free of charge to the public?
  • How important are library subscriptions to your journal's revenue flow?
  • What predictions can you forecast about future publishing practices of your journal?

The forum will offer the opportunity for attendees to ask questions and contribute to the discussion with their fellow colleagues. All perspectives and experiences are welcome.

Organized by the Scholarly Communication Collaborative, a group formed by the Libraries to inform and educate the campus on policy and practical issues surrounding scholarly communication.
