EBSCO A-to-Z Hint: Adding and Removing Individual Titles in Complete Packages

from EBSCO:

EBSCO's Customer Care team has recently received inquiries about the behavior of the EBSCO A-to-Z list when adding or removing certain titles in their collection. In order to help you better manage your A-to-Z collection, we would like to clarify how to add or remove individual titles that are part of a “complete package”.

When you purchase a “complete package”, you automatically receive access to all of the titles within that package. On the A-to-Z Administrator site, titles within complete packages are indicated by a completely shaded circle icon on the Title Wizard and Collection Editor. In the past, however, some customers attempted to add individual titles within a complete package to A-to-Z by selecting the check box next to the title on the Title Wizard’s Individual Title Selection page. Within a few days, the entire package was added to their A-to-Z collection automatically. This occurs because A-to-Z is designed to recognize complete packages and add the appropriate titles to the A-to-Z collection, ensuring that the institution has access to all subscribed package content.

In order to simplify this process and eliminate confusion, an enhancement was recently introduced to A-to-Z. As of Tuesday, 3 March 2009, the check boxes next to individual titles within a complete package on the Individual Title Selection page have been deactivated.

If you purchased the individual title separate from a package, there is often a more appropriate record for it on the Individual Title Selection page. The correct record is often part of a “Complete or Selected titles” package (which displays with a partially shaded circle icon), a “Selected titles” package (a circle icon with no shading), or even a title that does not have an icon and is instead denoted as “Publisher Site”. However, if you are certain that the title within the complete package is the correct record, you can still add it to your A-to-Z collection manually. To do so, you must add the individual title through the download and upload process to ensure that A-to-Z properly maintains the link and coverage information. Click here for a detailed tutorial on how to download and upload in A-to-Z.

Similarly, if you wish to remove an individual title within a complete package from your A-to-Z list, you must use one of the following methods:

  • Delete the title through the download and upload process.
  • “Hide” the title from your A-to-Z list:
    • From the Collection Editor, locate the corresponding vendor name and click the plus sign to the left to display the list of packages from that vendor in your collection
    • Click the package name in the left-side panel.
    • At the bottom of the right-side information panel, click the Show Titles link, then click the appropriate title name in the list that appears.
    • In the window that appears, click the check box next to “Do not display this resource on the End User Site.”
    • Click Save.
    • The resource will be immediately hidden from the Reader site. Though the title is hidden, it will still be included in your Unique Title Count.

While the Individual Title Selection page cannot be used to add or remove complete package titles, it is an excellent tool to use when adding individual titles for all other types of packages and resources.
