Is it important for the rovers to make sure they are spending equal amounts of time in each library? One of them asked me that tonight, and usually when I trained people I told them to do that, but the amount of time spent in each library sometimes depends on the amount of books that need to be shelved.

I think that the tally sheets were mixed up tonight, so the counts might not be completely accurate. Anna isn't here so I can't ask her which sheet she recorded information on, but I will ask Levita once she comes down at the end of the shift, and I will try to fix the accuracy. I just wanted you guys to be aware of this.

It looks like no security monitors came down until 7:00 tonight. This seems to happen a lot, which makes me wonder if some of them don't know to come into the sub-basement every hour. Also, sometimes they aren't around when I close up the libraries, and when that is the case I just do a walkthrough to make sure all patrons have left.

Follow up on 9/27 stat sheets

When I checked the stats this morning I could see that headcounts and user counts were both taken last night. Thanks for making sure this got done.

I noticed a huge difference in numbers, however, and I'm hoping you can provide some insight into what might be the cause:
The head count numbers for East Asian at 5, 6, and 7 pm were 2, 4, and 4.
The user counts for the same hours were 1, 0, and 0.

The user counts should have reflected more people going into East Asian. Do you know why there is such a difference? Is the desk person up and down a lot helping people? Is the desk person studying and perhaps not as attentive as they should be?

Monday Sept. 27

Levita had to call security tonight because there was a lot of yelling up in the basement. This seems like it happens a lot, which makes me wonder why there isn't more security stationed down there?

Everything else was fine tonight.

About Yesterday 9/25

I forgot to write this yesterday because we were busy all the way to 8 o'clock. It was almost like a zoo a group of about 7-8 students were in the Annex just 20 minutes to 8 o'clock. One actually managed to get into the shelving but I informed her that it was against the rules, but not before I stood there staring slack-jawed at her as Erika has told me. About the new sheets is there a difference between the headcounts and the user statistics? Also in the East Asian Library the was a spot Folio N-NZ that needs fixing up.

Take Head Counts this week!

For this week only please record the headcounts in each unit at 5 pm, 6 pm, 7 pm, and just before closing at around 7:55 pm. A few times a year the LIbraries collect headcounts across the system.

Please take these counts IN ADDITION to the patron counts you have been taking.

Ugh, I know you are taking tons of stats! Thanks so much for staying on top of everything, it really helps.

Security has been increased in the library starting today. Workers were handing out flyers with rules on it, and from 4-5 an actual police officer was patrolling the security monitor shift. I just wanted to make a note of this, I don't have any concerns about it!

Again, everything went fine today, and I don't have any questions.

There were a lot of patron studying in the East Asian Library tonight. On general, I have noticed that there are always several people studying in there.

Tonight was slow...not many patrons came through. No problems or concerns!

Wed, Sept 20

I noticed tonight that there aren't any telephone numbers listed next to the red phone. It would be helpful to post the numbers for the security monitor and the circulation desk.

There were some really loud people up in the basement tonight, and this is pretty much a regular occurance. It sounds like groups of men or boys yelling and goofing around. I'm sure this is distracting to other patrons, but I'm not really sure how to solve the problem since by the time I would call a security monitor thenoise would be over. Just thought I'd mention it here.

Subbasement Binder

There is a new binder for the subbasement, which is located in the tray above the garbage can and paper recycle bin near the Annex office door. Please have everyone look through it while they are working on the subbasement desk. You can get copies of the Rover log, and stat sheet in this binder, and there is also information about computer station use and dos and don't s while you are working on the desk, as well as a map of the subbasement libraries.

I will be putting the written general subbasment procedure in the binder as soon as I get the most recent copy.

On security Monitors: I noticed tonight that the evening security monitor was coming down at around 25 minutes past the hour. Other nights security guards will come down right on the hour, but it is really inconsistent. I was wondering if the desk worker should also write down the time that the security monitor shows up when he/she fills out the tally sheet?

Also, I don't remember if anyone found out if we are supposed to turn off the computers in Ames and East Asian.

Nothing major to write about today. I think the sub-basement operations are working out well now. Levita wrote a couple comments about small kids using the computers in the stacks. Also, someone asked her if the East Asian library had computers, to which she replied that it does but you need a U of M login, which the person didn't have. Not sure if he wanted to use the computers for research or for leisure.

Mon, Sept. 11

More about head counts! I talked with Julia about this, and we decided that the desk person should count people as they go into libraries, and that only the 1st hour rover should do a head count. However, I was wondering if perhaps the rover should still do a head count every hour, and then the desk attendant could just add to that number as they see people come down? This way will probably count several patrons more than once if they stay in the libraries, so it's not completely accurate. But I thought maybe it's important for us to keep track of both how many people use the libraries to get books AND how many people use the libraries for studying. I hope this makes sense, we can talk about it when I work on Wednesday!

Erika told me that Don Johnson from Ames was wondering why we weren't shutting down the patron computer. Are we supposed to shut down computers at the end of the night, in both East Asian and Ames?

When I talked to the security monitor tonight, he said that there is a shift change at 7, so we actually will come into contact with two seperate security monitors. I am wondering if this is maybe the reason why some of them don't check in with us.

A few things:

What happens if a patron comes and goes into one of the libraries between head counts? I feel like we should still be keeping track of these people. Perhaps the desk attendant can keep a tally and then add them to the head counts for the hour?

I don't think everyone is aware of the Rover log. I've been doing my best to explain it to the rovers and/or remind them to do it. Other supervisors should keep this in mind when they work.

Also, during my desk shift (4-5), the security monitor didn't check in at the beginning of the hour. I'm not sure if this has been happening all day because right now the tally for their check-in is confusing.

Everything went well the shelving got finished people did come in and use the services of the sub-basement libraries. There was one thing that felt wierd the pick up routine. I wanted to come into the annex and process them but did not feel that I should leave the desk. I during my roving period tried to do am much processing of them as I could but did not even get to finish discharging them. Please let me know what I should do in the future. Otherwise everything went fine.

Weekends and Miscellaneous

Hello!
So far it seems like things are going well! Pat, Julia and I met today and I have a few points to share with you.

1. Just to clarify: Ames and East Asian shelving and maintenance also need to be done on the weekends as well as the weekday evenings.

2. The Rover does not need to do headcounts in the Map library; the Map student will check in with the desk person to give you the headcount, so you can record it on the stat sheet.

3. When you go through and do the closing announcement, please do a final head count and write it in the 8pm section for the day.

Sept. 6, 2006 thoughts

I had a lot of questions tonight as I worked the evening shift. So I will list them below!

1. On the stat sheet, the security monitor check-in boxes are confusing, since the area to check off is just blank without any indication of date or time. Several students were confused by this, too. I think the way we check them off needs to be changed.

2. I ran into a Minitex employee in the Annex, and she needed help finding a few books since she was new. Should we count helping workers from other departments on the stat sheet? Also, is there usually Minitex traffic after 6pm? It would be good for us workers to know, so we aren't completely caught off guard if the shelves start moving.

3. Are we supposed to announce closing times to patrons? Or is that up to the security monitors?

That's it. Other than my huge list of questions, everything went smoothly tonight.

Extended Hours Has Begun

Last night marked the first night of Extended Hours.

A few things:

1. Student supervisors: please remember to fill in tasks on the schedule.
2. One suggestion was that the desk should be moved out slightly so it doesn't feel as awkward watching which library people are going to, when they are going towards Ames and the Annex.
3. The security monitor is a support person for the Desk Attendant and Rover, but they are not closing the libraries down here. The Rover and Desk Attendant will go through East Asian, Ames and the Annex and notify people of the closing and shut the lights off and make sure the door locks.
