For Selectors (Scholarly Communications scan part 2)

For your convenience as you get ready to submit the Environmental Scan for your department(s)::
The list of Q &As were updated Monday, May 19, 2008.
SEE the text of the survey only without table without examples at the END of this blog entry.

NOTE!!! Looking for the link to the actual scan survey form?? It varies by dept. (U of M dept, not Libraries) Look for the email sent:
Date: 4/3/08 (at least for one liaison)
Sender: Scholarly Communications Collaborative
Opening text: As promised, here is the Zoomerang invitation for the Scholarly Communication Environmental Scan - Part Two for your department: --------, Department of

CLA Criteria for Tenure and 7.12 Documents: *See the list near the end of this blog entry.*
List of Liaisons and the departments for which they will do env. scans: **See the list at the end of this blog entry.**

The latest from KF on filling out the form, etc. (dated 5/22)

Fellow liaisons,

I hope your departmental research is going well for the Environmental Scan - 2. I have a couple of clarifications to make:

--to "save and finish later" within the web form: there isn't a button with that label, but any time you "Submit" a page, its content is saved; you will be able to get back into the form later using the same URL in the invitation you were sent. *Caution*: if at the end of page 4, you say, "No, I don't want to add another faculty member" and click "Submit," that's the trigger for *completing* the form, and you will not be able to get back in and add more later; if you have finished one faculty member and will want to add more even if not right this minute, say "Yes, I want to add another faculty member" and click "Submit," so the data you've already put in is saved *and* you'll be able to go back and add more later.

--for journal editors: I'm finding there's more variation in titles than we expected. Please use the two choices given ("Managing Editor" and "Editor") for the top two levels of hierarchy, even if the titles are somewhat different (as alternative configurations, I've found "Editor-in-Chief" as the top level with "Editor" at the next level; but sometimes instead, "Editor" as the top level with "Editorial Board [member]" at the next level).

Please let me or another member of the Scholarly Communication Collaborative know if you have questions.
Thanks.
Kris

HELPFUL HINTS
Johan suggests searching Google Scholar as well as DOAJ. His suggestion is great! I had incredibly more results in GS than DOAJ!!! Also, once you set up an Advanced search in GS, it creates a shortcut search box that you can keep using, replacing the search terms for each journal/each faculty name. HOWEVER the articles may NOT be open access - but GS helps identify access points, esp. JSTOR and publishers + FINDIT links. I found 2 of 64 that were in fact accessible. The rest were, of course, in subscription based journals.

Interpreting the questions on the survey
a bit of this is from the Schol Comm site, the rest is compiled from emails from KF

For screen 1 questions on levels of departmental activity,
* focus on key disciplinary repositories and OA journals, even though the results may not be comprehensive
* check the college's website for departments' tenure and promotion codes (7.11 or 7.12)
[here is a list of the ones we know of] (see the end of this blog entry

For screen 3 questions on identifying influential faculty members,
* please be as comprehensive as possible
* ask the department's administrative office to share information they collect, such as editorships included in the Reports of Professional Activity the faculty submit as part of the merit review process
* check faculty members' webpages for current CVs, etc.
* interview key faculty members
[avoid a blanket survey of all faculty members, since they're likely to have survey fatigue]
* search SHERPA RoMEo

QUESTION 4
Q. At 11:29 AM 5/8/2008, you wrote:
> When a department does not mention alternative publications, and if it is not implying or explicitly accepting or prohibiting, then my answer is "None of the Above."
> Can "None of the Above" be added to the options on question #4?

A. Hi, Susan. Unfortunately, no, at this point we can't add any choices to the scan on Zoomerang.

My take is that if a department does not mention alternative publications, one of the "implicit" choices applies. If the language that's there would tend to exclude alternative publications (e.g., limiting to journals with ISI impact factors), then I'd choose "No -- Implied prohibition ;" if there's nothing that would rule out alternative publications, then I'd say "Yes -- Implied acceptance."

Hope this helps.
Kris

QUESTION 7

At 12:28 PM 5/8/2008, you wrote:
Q. > Ok, in question 7 does "providing author's rights help" mean - "Does the department provide author's rights help?"?

A. Hi again,
Yes, this section is all about determining departmental policies and practices. For #7, providing author's rights help is just an example of any "Other Action" the department may be taking with regard to schol comm.

Sorry if the questions aren't as clear as you'd like. The Collaborative certainly went over the draft enough times, you'd think we would have caught every possible interpretation, but inevitably it didn't turn out that way.
Thanks.
Kris

AFTER QUESTION 8

Question sent to Kris re mandatory question with asterisk ; response:
Susan,
The only mandatory "question" after #8 is at the very end of the last screen--you have to answer yes/no to "Do you want to add another faculty member?" before you can hit Submit. Just a mechanical function of Zoomerang, to enable getting a page for another faculty member when wanted.
Thanks.
Kris

Q Re "Environmental Scan for Scholarly Communication – Part 2 Questions marked with an asterisk (*) are mandatory."

Kris,
Concerning the statement on page 4, "Questions marked with an asterisk (*) are mandatory." after question # 8 on the survey, in the Word document version, there are no asterisks on any of the questions following that statement. If there are in fact some mandatory questions in part 2 , which ones are they?

QUESTION 16
Questions 10-24 specifically refer to the heading "Identify department - sponsored publications ; Peer-reviewed journals / book series published by a campus unit." Unless one of the units you're reporting for has its own journal or book series, you wouldn't fill out the rest of this section. If they do sponsor one (or more) but have a commercial publisher produce it, that would be the "publishing partner."

QUESTION 36
Q. re #36 Currently serve on journal / book series editorial board - This seems to be a new section - so... does this refer to any journal at all? not just open access?

A. That's right, not just OA journals.

COMMENT FROM KRIS RE THIS LIST:

Q. At 05:17 PM 3/20/2008, you wrote:
> What do you recommend re liaisons for Centers (not departments)?

A. Sorry for not replying sooner.I think this clause probably applies to your situation:

If you have relevant information on a department for which you do not serve as a liaison (perhaps most applicable to ASC members and area studies librarians), please communicate that information to the appropriate liaison.

We decided we had to organize by departments, since that's where the T&P requirements reside, and to make sure all faculty members were covered while avoiding duplication. We know it's not a perfect plan but hope it's easy enough for librarians to communicate the relevant info to each other.

Thanks.
Kris
