Updated Documentation

We have posted updated documentation for both unit key contacts and contributors. A "Contributor User Guide" has been created to assist contributors on how to add, modify, and delete an event and also talks about how spotlighted events are chosen. A "Unit Administration Guide" has been created for unit key contacts to use. This guide talks about how to add users and also how to add unit categories. RSS feeds will be added to this guide when the documentation for them has been completed.

Events Calendar News & Updates - November 10, 2009

Sign In Link
We have added a link to the bottom of the screen allowing contributors to sign-in to the system. If you are not signed in, the link will display "Contributor sign in". If you signed into the system, then it will display the user that you are signed in as.

Change in Editing Events
When you are signed into the system and are viewing an event, an "Edit" link will appear above the event title, which will bring up the editing window. This replaces the need to press Ctrl-Shift-F5 and should make editing events easier.

Updated Documentation
We are continuously updating the documentation provided as we add new features, make modifications, and receive feedback. Please visit the e-Communications blog at http://blog.lib.umn.edu/webdepot/ecomm/events_calendar/ for updates to the Events Calendar documentation. Updated documentation was posted last Friday.

Displaying Events on events.umn.edu
An option has been added to the "Submit an event" page that allows contributors to decided if they want an event to display on events.umn.edu. If you select "Yes", then the event will appear on the events.umn.edu site. If you select "No", then the events will only appear in RSS feeds. This will allow groups to add events that they wish to appear in RSS feeds, while restricting the event from showing on the events.umn.edu site. This is helpful if a group has an event that they use the calendar to populate events on their website, but not on the events.umn.edu site. Events that have the option set to "No" will still appear on events.umn.edu to contributors logged into the system. This will allow groups to find these events if they need to edit them.

Feedback
As we move forward with the Events Calendar, we would love to hear feedback from contributors on their experience with the system. We would like to hear what works and what could be improved. If you have any feedback that you would like to share, please send an e-mail to events@umn.edu

Events calendar ready for launch

Hello! Just a quick reminder the new events calendar will be launched starting at 8 a.m. on October 29. Please be sure to enter any upcoming events in the new calendar. The current calendar will no longer be available once the new one is launched.

If having old events viewable to the public is important, you may want to consider back-filling events in the new calendar.

Finally, if you are having difficulty setting up users, training staff, or entering in events for the next couple of weeks, please let us know by sending an e-mail to events@umn.edu. We understand launching a new system can be time-consuming and are here to help.

Events Calendar Training Sessions

We are offering two training sessions for the primary and alternate unit contacts. The sessions will go over how the event spotlight will operate, how to add users, and how to contribute to an event. The training dates are:

Events Calendar Unit/User Agreements and Key Contacts

I have received responses from groups that the previous post on unit/user agreements and key contacts is confusing. Here is some additional information to help clarify how units and users will be managed within the new events calendar.

We are defining a unit as any group that has a Dean, University Librarian, President, Sr. Vice President, Vice President, Vice Provost, Chancellor, or Vice Chancellor. Any unit that wishes to use to the events calendar will need to get the unit agreement signed by their unit head. Additionally, only one primary contact and one alternate will be designated per unit on the form. For the user agreement forms, only the primary and alternate contacts for the unit need to sign an user agreement form.

The primary and alternate contacts will be given the ability for units to add/remove contributors for their units. Any contributors added do not need to fill out an user agreement form.

Some people may ask why we limit key contacts to just units and not departments? Even at the unit level as we have defined it, we would have almost 100 contacts. Now imagine if this was open to departments. By limiting to the unit level, UR can have a more personal relationship with the units using the events calendar. This is similar to how OIT meets with the IT directors rather than with individual departments and is similar to the model used for mass e-mail.

Events Calendar Agreement Forms Posted

We have posted the Events Calendar Agreement Forms. There are two forms that units will need to fill out. The first form is the Unit Agreement Form which will need to be signed by the unit head and lists the primary and alternate key contacts. The second form is the User Agreement Form and will need to be signed by each of the key contacts for the units. For events calendar purposes, an unit is defined as any organization within the University that is overseen by either a Dean, University Librarian, President, Sr. Vice President, Vice President, Vice Provost, Chancellor, or Vice Chancellor.

Update:

Update:
Departments wishing to use the system should talk with their unit's administration about who will serve as key contacts for the unit and will be responsible for administrating users for that unit. Only users who will be serving as key contacts for their unit need to submit an user agreement form. As unit's submit forms, we will post who the key contacts are so that people within the units know who to contact about getting access to the system.

New UofM Events Calendar

University Relations is pleased to announce a new events calendar that has been developed to replace the existing system (events.umn.edu). The events calendar is based on the Oracle Universal Content Management platform. By using this platform, the University has full customization opportunities while utilizing a vendor-supported solution. The new events calendar's features include:
• Contributors can add an image, a document, or a video to an event
• Users can add events from the calendar to their Google or Yahoo calendars
• Units can create their own RSS feeds
• Units can administer its users
• Units can create their categories
• A "featured event" section highlights upcoming events

The events calendar will be available to Twin Cities-based contributors starting in early September with a launch in mid-October for visitors. Units may start signing up in mid August for access to the calendar. We will be posting sign-up forms, and information about timelines and demos, on this blog as they become available.

Events Calendar Update

As promised in my previous post, here are the functional requirements that we currently have for the events calendar. There are two documents that are related to the functional requirements, the first is the requirements document while the second document is an Microsoft Excel spreadsheet detailing the various fields available to an event. We would like to receive as much feedback as possible, so if you have any feedback, please send it to casper@umn.edu. We have met with groups like the College of Liberal Arts, College of Design, and Duluth and they have provided excellent feedback on the functional requirements. Again, if any groups would like us to meet with them to discuss the functional requirements, please contact me at casper@umn.edu.

Our timeline going forward will be fairly aggressive as we would like to have the system operational sometime during the fall semester. Starting in mid-May, we will be taking the functional requirements that we have created and start looking at the technical solutions available to implement the system. In addition to starting to finding a technical solution, we have already starting to work on page designs for the main events page. While we have not scheduled usability testing as of yet, but we will plan on having the www.umn.edu/events site go through usability testing either before or after the new site is launched.

Events Calendar Update

In case anyone missed the January announcement, University Relations is working to re-vamp the current events calendar that is available to the University. Since that announcement, we have received feedback from users on functional requirements and what they would like to see from the events calendar. In addition, we have met with the Office of Information Technology (OIT) and have discussed how we can work with them on this project and also to understand how projects move through OIT.

As we approach the end of April, we are looking to finish up the functional requirements so that we may move on to finding a technical solution. What that technical solution will look like, we do not know yet. At this point in time, everything is on the table, whether it is building it, buying it, or integrating with existing systems. We will pick the solution based on how well they meet the functional requirements along with the expected cost of ownership.

If any group would like to meet with University Relations to discuss the events calendar, see where we are at for functional requirements, and also to provide feedback, we would be more than willing to meet with the group. Events Calendar, Search, and UMContent update

So I have the privilege of being the first person to post on the eCommunication Blog. In thinking about which topic to talk about, I decided that providing quick updates on a couple of topics would be the best use of this post. So, here are some updates on some of the projects that I am working on.

Events calendar:

Thank you to everyone who responded to University Relations' request for feedback on the current events calendar and suggestions for improvement. We have taken those responses and have started to create a draft proposal to submit to the OIT so that the project can be included in their planning process. In addition to creating a draft proposal, we are working on drafting functional requirements to be used later in the process. We will be meeting with various groups to get input as the process moves along and will also be creating an advisory committee to help with feedback. The major next step will be to meet with OIT so that we can determine what an appropriate timeline will be. Search:

This is one project that has been delayed longer than I care for. The hope was to have the updated tabbed search results out around the same time as the templates. Due to other projects, this has been delayed. I am currently shooting for the end of March, but it will most likely be in April. We are working to get this setup so those users on OIT hosting (whether through OIA Shared or IS Group Web Hotel) will be able to just set a configuration file and be able to use it with minimal programming knowledge. To answer a question that some people have asked, yes it is possible to pull in search results other than the Google Search Appliance. Users wishing to utilize this will probably need some programming knowledge to integrate it.

UMContent:

Most of my time has been spent trying to get the rest of UR sites out of FileNET and into UMContent. After this project is over, more of my time will get shifted to search and events calendar. We have been working with OIT to help identify areas where performance could be improved as they work with Fishbowl Solutions. We have determined that one of the services that the system is using (SS_GET_SEARCH_RESULTS) is running full-text searching and therefore is very slow to return results. To get around this, we have switched our dynamic lists to use the GET_SEARCH_RESULTS service. This has had the effect of reducing our page load times from around 27 seconds to 2 seconds. When OIT and Fishbowl determine how to get SS_GET_SEARCH_RESULTS optimized, this will hopefully be able to speed up the contributor experience as this service is used heavily on the contribution side.

We are planning to get the new U Templates into UMContent, however we are waiting for Site Studio 10gR4 to fully implement the templates. With the 10gR4 functionality, we should be able to provide templates that users will just be able to use out of the box. This is an improvement over the previous versions where customizing the templates required groups to copy the layouts and then modify them themselves. Site Studio 10gR4 has been installed on the DEV environment, so we have had the opportunity to start to look at the architecture, but until some of my other projects are out of the way, this is a lower priority.

Other Notes:

As some people may know, my appointment is an 80/20 split with the 20% of my time reporting to OIT's Office of Communications and Advancement. This has been beneficial as there is overlap in the projects that both OCA and UR are working on. Hopefully in the next few weeks, you will see a revised OIT home page (www.oit.umn.edu) that uses the new U Template and also brings in graphical elements from the U home page. Hopefully this new page will provide an improved user experience.
